The business and the pain

An accounting firm with hundreds of client files juggles fees, collections, client requests and processes that repeat every year. Without a system, all of it lives across Excel, Word, email and the team’s memory: letters written by hand one at a time, annual tasks falling between the cracks, and nobody able to say at a given moment who paid, who is behind, and where a client’s request stands.

What the system does

A practice-management system running in production, covering the firm’s real day-to-day: a fee engine with rate updates and payment-method discount tiers, an automatic letter generator producing Hebrew collection and update letters with delivery tracking, boards for recurring tasks so no annual process is forgotten, tickets for client requests and queries, and direct payment processing through Cardcom and Tranzila. Built to scale from hundreds of files to thousands without the process breaking.

The details that prove deep specification

  • The letter builder works the way the firm thinks: one template, client and office variables, and every letter comes out ready to send with the right payment path. No copy-paste, no wrong names.
  • 252 database structure updates since going live. Nobody plans a number like that: it is a system growing with the firm, request after request.
  • Isolation between firms is enforced in the database itself: one firm can never see another firm’s rows, even if the code slips.
